If an airline tells me in advance that it will deny boarding on an EU-covered flight, must I still present myself to claim compensation?

An explicit advance refusal by the airline is different from your own prediction that a delayed flight will be unusable. The Commission’s guidance explains that a passenger with a confirmed reservation who is told in advance that boarding will be refused need not perform the futile step of presenting for that flight to claim denied-boarding compensation. Preserve the refusal itself.

Traveler organizing trip records and next steps after a flight disruption

What this answer depends on

  • Flights and passengers within Regulation (EC) No 261/2004. Check departure, destination, operating carrier and the specific conditions below; the airline name alone does not establish coverage.
  • The EU interpretative guidelines distinguish advance denied boarding from a passenger independently deciding not to appear and describe compensation without requiring airport presentation after an explicit prior refusal.
  • The cancellation-notice exceptions do not automatically become advance-denied-boarding exceptions; denied boarding has its own legal framework.
  • A justified refusal for health, safety, security or inadequate travel documentation is excluded from the regulation’s denied-boarding definition.

Important exceptions

  • The protection does not mean a traveler can stay home whenever they expect a delay or think a connection will be missed. The airline’s actual refusal, EU coverage and any valid justification matter. A message inviting you to choose an alternative is not necessarily an unequivocal denial of boarding.

What to do next

  1. Save the exact airline message and its time. Establish whether it is an explicit refusal to carry you, a cancellation, a proposed itinerary change or merely a warning about possible disruption.

  2. Ask for written confirmation of the reason and the affected flight. Retain the confirmed reservation that existed before the refusal.

  3. Request the appropriate travel alternative or refund separately from compensation. Do not let the denied-boarding dispute leave the rest of your ticket unresolved.

  4. In a claim, explain that the airline refused boarding in advance and attach the refusal. Avoid describing the event only as a voluntary no-show or applying the cancellation notice table without examining the correct category.

  5. Keep the confirmed reservation, exact refusal, reason, all subsequent itinerary changes, requests for transport and the airline’s classification of the event.

Is a weather warning enough to treat myself as denied boarding?

No. This answer concerns an explicit advance refusal by the carrier, not a passenger’s prediction.

Does calling the event a schedule change settle the issue?

No. Preserve the facts and ask what the airline actually did to your confirmed reservation.
