Which Delta form should I use for meal, hotel and transport expenses after a disrupted flight?

Delta’s published expense process distinguishes US or Canadian residents from residents elsewhere. It also separates eligible disruption-care expenses from losses such as prepaid destination bookings or replacement transportation. Start with the correct form and an itemized request; a canceled flight is not a blanket promise to repay every resulting cost.

Traveler organizing trip records and next steps after a flight disruption

What this answer depends on

  • Delta’s published expense policy, with the residence and controllability conditions stated below. Any statutory right applicable to the route is separate.
  • Delta directs US and Canadian residents with eligible expenses after a controllable cancellation or delay of at least 3 hours to its reimbursement-request process; other residents are directed to the Comment and Complaint process.
  • Its stated eligible categories include reasonable meals and, for an eligible overnight disruption away from home or destination, hotel and ground transport between the airport and hotel.
  • The page excludes expenses caused by events outside Delta’s control, prepaid destination expenses, lost wages and alternative transportation to the final destination from that expense policy. Applicable legal rights require separate consideration.

Important exceptions

  • The policy does not preapprove a particular hotel or spending amount. A foreign-departure passenger-rights regime may provide rights beyond a US airline’s voluntary care policy. Delta’s page also contains differently scoped automatic-refund descriptions; this expense guide makes no universal promise about a twenty-four-hour airfare refund.

What to do next

  1. Keep the original itinerary and Delta’s explanation of the cause. Identify your residence and whether the delay or cancellation meets the published policy conditions.

  2. Separate meals, necessary overnight lodging and airport–hotel transport into clear receipt lines. State the dates, passengers covered and why the expenses arose during the disruption.

  3. Follow the official delayed-or-canceled-flight page to the residence-appropriate form. Submit through Delta itself, not an unrelated service that resembles an airline reimbursement page.

  4. Keep the submission and decision. If an item is refused, distinguish a claim under Delta’s expense policy from a different statutory right that may apply to the flight’s jurisdiction.

  5. Have the flight and booking references, residence, disruption reason, original and actual timing, itemized receipts, passengers covered, payment evidence and any earlier Delta case number.

Does a US departure mean I use the US-resident form?

The published form distinction is residence, not simply departure airport.

Can I add the cost of a replacement ticket to this expense form and expect repayment?

Delta’s described policy excludes alternative transportation to the final destination; any other basis must be evaluated separately.
